How to upload a document
- Navigate to Policies in the sidebar.
- Click New Policy to open the policy creation form.
- In the upload section, click Upload Document or drag and drop a file onto the upload area.
- Select a PDF or Word file from your computer.
- Keystone processes the file:
- The text content is extracted from the document.
- The extracted content is converted into the rich text editor format.
- The content appears in the editor, ready for review and editing.
- Fill in the policy Title, select a Folder if desired, and add any Tags.
- Click Save to create the policy.
What happens during upload
Text extraction
- PDF files — Text is extracted from the PDF using server-side parsing. The system reads the text layer of the PDF and converts it into structured editor content. Scanned PDFs without a text layer may result in empty or incomplete extraction.
- Word files — DOCX files are parsed to extract formatted text, headings, lists, and other structured content. The formatting is mapped to the corresponding rich text editor features where possible.
Original file storage
The original uploaded file is stored and linked to the policy record. The original is always available for reference or download, even if you edit the extracted content extensively.Content conversion
After upload, extracted content is converted into the rich text editor format. Review and adjust as needed:- Review the extracted content in the editor for accuracy.
- Fix any formatting issues that may have occurred during conversion.
- Add headings, tables, or other formatting as needed.
- The policy is now a native Keystone document and can be edited, versioned, and managed like any other policy.
After uploading
Once a document is uploaded and saved:- The policy starts in Draft status. Review the extracted content and make any corrections before publishing.
- You can continue editing the content using the full rich text editor.
- The original file remains linked — you can reference it at any time from the policy detail view.
- Publish the policy when you are satisfied with the content to make it available to your team.
Limitations
- Scanned PDFs — PDFs that are scanned images without embedded text will not extract meaningful content. Consider using OCR software to add a text layer before uploading.
- Complex formatting — Some advanced Word formatting (e.g., multi-column layouts, embedded charts, form fields) may not convert perfectly. Review and adjust the content after upload.
- Images in documents — Images embedded in PDF or Word files are not automatically extracted and inserted into the editor. You will need to add images manually using the editor’s image tool.
- File size — Files larger than 20 MB are rejected. If your document exceeds this limit, consider splitting it into multiple policies or reducing the file size.
