QC review dashboard
Go to Quality Control > QC Dashboard in the sidebar. The dashboard displays a paginated table of all reviews with the following columns:

Filtering reviews
You can filter the review dashboard by:

Reviews are displayed 20 per page with standard pagination controls.
Selecting loans for QC review
There are three ways to create QC reviews:
Random selection
Random selection is the primary method for building a compliant QC sample. It uses your QC settings to determine how many loans to select and which loans are eligible.
How to run a random selection:
- Go to the QC Dashboard and click Run Selection in the toolbar.
- Select the target month (defaults to the current month).
- Optionally enter a target count to override the percentage-based calculation.
- Click Run Selection.
How random selection works:
- The system identifies all loans that reached an eligible status (e.g., Funded or Closed) during the selected month.
- Loans that already have a QC review are excluded.
- The remaining loans are shuffled using a randomization algorithm.
- The system selects a number of loans based on your configured selection percentage (default: 10%) or the override target count.
- For each selected loan, a QC review is created with the appropriate template matched automatically.
- All reviews are created with status Pending and selection method Random.
The dialog shows a summary after the selection completes, indicating how many loans were selected out of the total eligible pool.
Manual selection
Manual selection lets you create a QC review for a specific loan.
How to manually create a review:
- Open the loan detail page and click the QC tab.
- If no review exists, click Create QC Review.
- The system automatically matches the loan to the most appropriate active template based on the loan’s type, purpose, channel, and property state.
- The review is created with status Pending and selection method Manual.
Only one QC review can exist per loan. If a review already exists, the QC tab displays the existing review instead of offering to create a new one.
Targeted selection
Targeted selection works the same as manual selection but records a different selection method. Use targeted selection when a loan is being reviewed due to a specific concern, such as:
- An investor audit request
- A borrower complaint
- A suspicious pattern identified in another review
- A regulatory inquiry
The selection method is recorded on the review for audit trail purposes.
Review statuses
Every QC review progresses through a defined set of statuses:

| Pending | Review has been created but no items have been evaluated yet |
| In Progress | At least one item has been marked Pass, Fail, or N/A. Status changes automatically when the first item is reviewed. |
| Completed | All items have been evaluated and the reviewer has finalized the review |
| Waived | The review has been waived (skipped) with an optional reason |
Status transitions happen as follows:
Pending --> In Progress --> Completed

The transition from Pending to In Progress is automatic — it occurs when the first review item receives a result other than Pending.
Conducting a review
Once a review exists, a reviewer works through each checklist item.
Opening a review
Go to the QC Dashboard and click on a review row to open it.

Marking items
For each checklist item, the reviewer selects one of four results:

| Fail | The item does not meet requirements | Documentation is missing, inaccurate, or non-compliant |
| N/A | The item does not apply to this loan | The question is not relevant (e.g., VA-specific question on a Conventional loan) |
| Pending | The item has not been reviewed yet | Default state — no action taken |
Step by step:
- Locate the item in the checklist (items are grouped by category and sorted by sort order).
- Select the appropriate result: Pass, Fail, or N/A.
- The result is saved immediately.
- The review’s pass, fail, and N/A counts update in real time.
Adding notes to items
Each item has an optional notes field where the reviewer can provide detail:
- For failures: Document what was wrong, what is missing, or what regulation was violated.
- For passes: Optionally note anything noteworthy about the documentation.
- For N/A: Optionally explain why the item does not apply.
Notes are saved when the item result is updated.
Review summary counts
As items are marked, the review header updates with real-time counts:

These counts are stored on the review record for reporting purposes and do not need to be recalculated when viewing the review later.
Completing a review
When all items have been evaluated (no items remain in Pending status), the review can be completed.
How to complete a review:
- Ensure all items have a result of Pass, Fail, or N/A.
- Click Complete Review.
- Optionally add overall notes summarizing the review findings.
- The review status changes to Completed and a
completedAt timestamp is recorded.
If any items still have a Pending result, the system will prevent completion and display the number of items that still need to be reviewed.
Overall notes
The overall notes field is for the reviewer’s summary assessment of the loan. Common uses include:
- Summarizing any failures and their severity
- Noting patterns or training needs identified during the review
- Recording follow-up actions required
- Documenting the overall quality of the file
Waiving a review
In some cases, a QC review may need to be waived rather than completed. This could happen if:
- The loan was paid off or rescinded before the review could be conducted
- The review was created in error
- An exception was approved by management
How to waive a review:
- Open the review detail page.
- Click Waive Review.
- Optionally provide a reason for waiving (stored in the overall notes field).
- The review status changes to Waived and a
completedAt timestamp is recorded.
A waived review retains any item results that were recorded before the waiver. The waiver reason provides an audit trail for why the review was not fully completed.
Viewing QC results on a loan
Open the loan detail page and click the QC tab. If a review exists, you will see its status, summary counts, reviewer, and the full checklist with results. If no review exists, you will see an option to create one.
QC selection history
The selection history is available in the filter panel on the QC Dashboard, showing each month with its loan count. This helps you verify that selections are being run consistently and that sample sizes meet your policy requirements.
